This policy refers to employees and customers who provide their information to us.

Policy Elements

To enable our business to operate, we are required to obtain and process information. This information includes any offline or online data that makes a person identifiable for example, Names, Addresses, Digital Footprints, Photographic ID, Financial Information etc.

Our company policy is to collect this data in a transparent way and only with the full cooperation and knowledge of the employee or customer. Once this information is available to us, the following rules apply:

  • Only used within the Dick Lovett Group or by approved third party data processors

Dick Lovett (Specialist Cars) Limited’ (“Dick Lovett”), (An incorporated company registered in England and Wales, number 02567241) is the website a data controller, this means no matter who the processor is listed below we are responsible for your data and its use. We take data protection very seriously, preserving the privacy of individuals who visits our website and contact our company. We are strictly compliant to the latest laws including the General Data Protection Regulation (GDPR).

Our website is powered by Evosite Ltd, an incorporated company in England Wales, Registered number 5385379 (“Evosite”), our third-party web services provider. Evosite is like us committed to ensuring that data is processed strictly in accordance with applicable data privacy laws and is kept secure. Evosite uses Amazon Web Services, Inc. as its cloud platform provider. All data processed by Evosite is stored on Amazon’s web servers in the EEA, some truncated or anonymised website data may be copied into their development environment also in the EAA for debug purposes.

If you visit our website

When someone visits our website, Evosite collects standard internet log information (your IP address, browser, and type of device) and details of visitor behaviour patterns (where you joined our site from, the path you take through our site and where you leave). These are stored against unique ids (which are strings of numbers).

Evosite collects this information for the legitimate business purpose of monitoring the number of visitors to the various parts of the site, the general geographic location of visitors and engagement levels, which in turn enables it to make improvements to our website and services, and provide business intelligence. This information is only processed in a way which does not identify anyone. This information is kept in a diagnostic format for 52 days, in certain diagnostics scenarios this information may temporarily be held longer (for a period up to 12 months).  

Dick Lovett also uses Google Analytics to collect standard internet log information and details of visitor behaviour patterns, which are stored against unique ids (i.e. strings of numbers). We collect this information for the legitimate business purpose of monitoring website traffic and engagement levels, which in turn enables us to make improvements to our website and the way we sell our cars and services. This information is also shared with Evosite for development, performance and troubleshooting purposes. This information is only processed in a way which does not identify anyone. It is kept indefinitely.

Evosite use cookies containing an encrypted copy of your personal data where possible, this is limited to your full name, email address and phone number. This data is used to assist with form population around the website to make your experience as easy as possible, this data is then shared with us to better serve you.

We also monitor activity throughout our website using a third-party provider (Mediahawk) to improve our Digital Marketing using a Cookie (see Cookie Policy). We track which sources are effective at helping visitors find our website and make calls to us. We use IP addresses, geo-location data and caller telephone numbers.

If you use our enquiry forms

When you submit information using an online form, Evosite processes the data collected and stores it indefinitely for the legitimate business purpose of enabling us to access the information and deal with your request (it is then kept for a further 30 days in Evosite’s routine back-ups for business continuity purposes). We may collect the following information:

  • Title
  • First Name
  • Last Name
  • Email Address
  • Telephone
  • Enquiry Details
  • Existing Vehicle Details such as registration number and miles (either for a Valuation Request or as part of a Service Booking)

It is in our businesses legitimate interest to collect your personal information so that we can process your enquiry and respond to you accordingly. Your email address will also be used to allow us to send you a confirmation receipt in respect to your enquiry.

Evosite Ltd (Evosite) will be what’s known as a ‘Data Processor’ of the personal data you will provide to us for this enquiry. This means that they handle and display your data on our behalf for us to review and take action with, this is an automated function and your data will remain secure during this process.

In addition to this enquiry, we may use our businesses legitimate interest to send you marketing that we believe will be relevant to you. If you no longer wish for us to send you marketing, you will be able to use the unsubscribe link in any of our digital marketing communications, inform us in our Marketing Preferences Centre or by contacting the Dick Lovett dealership you enquired with.

When your enquiry is received into our business, subject to the brand/location you have enquired with, we will load your personal details into one of our secure CRM systems.

If you go on to purchase a vehicle or service from Dick Lovett, you may receive an email from 'Feefo' who are our customer reviews platform. At this point you will have the option to leave us a review based on your experience with Dick Lovett. This means your personal information will be shared with Feefo, solely for the purpose of leaving us a review. This falls under the heading of market research. Collecting feedback and reviews demonstrates how our customers have rated their experience with us, and so forms a normal and crucial part of the experience. We will keep the personal data you have supplied to us only for as long as is necessary to provide you with an offered service.

DATA PREFERENCE CENTRE:

Under data privacy laws, you have the rights to:

  • request access to your personal data;
  • request deletion or correction of your personal data; and
  • request that your personal data be transferred to another person.

Our online data preference centre helps you to exercise the rights that data privacy laws give you and control your personal information. It contains five separate forms, as set out below.

You can ask to see any personal information that we hold (known as a “subject access request”) by submitting the form on the “See your data” tab.

If you agree, we will try to deal with your request informally, for example by providing you with the specific information you need over the telephone.

• Transfer your data

By completing the form on the “Transfer your data” tab, you can ask us to provide your data to a third party.

• Delete your data

You can ask us to delete the information we hold about you by completing the form on the “Delete your data” tab.

• Change your data

If we do hold information about you, you can also ask us to correct any mistakes by completing the form on the “Change your data” tab.

• Marketing Preferences

On the “Marketing preferences” tab, you can tell us how you would like us to send you marketing information or ask us to stop marketing to you entirely.

Any data that is collected through the data preference centre is stored until such point the request has been completed, after which it is deleted.

If you wish to raise a complaint on how we have handled your personal data, you can contact our Compliance Manager who will investigate the matter personally. If you are not satisfied with our response or believe we are processing your personal data in a way that does not comply with the law you can raise a complaint with the Information Commissioner’s Office.
